Hall Hire – Policy and Charges

The Crestwood Hall and associated facilities were originally intended for the exclusive use of residents.  This remains the ‘rule of thumb’, although wider community participation in events is encouraged where appropriate.  Use of the hall must involve a Crestwood resident as the primary person responsible for any function.  In the very rare event that a clash of bookings eventuates, the hall will be allocated to the categories of use in the order in which they are listed.There are 4 general categories of use:

All hall hire and bond charges will be reviewed regularly by the Management Committee.
Note: bond figures quoted below will be $300 for home owners and $500.00 for tenants.

This is a function organised and run as part of Crestwood’s community life. It is either open to all members of the Crestwood community (this event is not for personal business or profit making) or is a function organised on behalf of the Management Committee.

Such functions might include a darts group, playgroup, a morning tea gathering, an annual dinner and others.  Note: cleaning charges can apply if not left in an appropriate condition.

Hall Hire:  No charge
Bond: No charge

From time to time residents of Crestwood wish to use the hall for a function or party to which they have the exclusive right to invite people.  Such functions might include birthday parties, engagements or weddings, family gatherings and similar functions.

A maximum of 50 people is permitted

  • Day time function (up to 50 people) kitchen use included:
    Hall Hire: $40.00 flat fee, morning and afternoon
    Bond: $300 or $500
  • Night time party or function (15 people or over) where the kitchen is required:
    Hall Hire: $75.00
    Bond: $300 or $500
  • Full day party or function where the kitchen is required:
    Hall Hire: $130.00
    Bond: $300 or $500

A resident may wish to use the hall to run an event (business or personal) to which they charge an entry fee or from which they might profit (eg: the event is part of their business/or part of the promotion of their business or a fundraising event.)

Selling of food is not permitted at any time.

Hall Hire:  $25.00 per hour
All Day Charge:  $100.00  8am – 5pm
Bond: $300 or $500

Residents may wish to have occasional (not regular) use of the hall eg: for children’s music or dance practice leading up to examinations, or for other purposes.

Individual arrangements need to be made through the Management Committee.

Hall Hire – Conditions of Use

The Crestwood Community Centre is designed to hold 50 people with ease and has a fully functional kitchen for your use. Ceiling fans, air conditioners and wall gas heaters are provided for the comfort of your guests. Smoking is not permitted in the centre.

What is included when hiring the centre

Gas stove and gas hotplates
A microwave oven, convection oven and pie warmer
Fridge
Electric Kettle
20 Coffee Cups
10 trestle tables which seat 6-8 people plus 59 plastic chairs

Portable gas BBQ, crockery, cutlery, glasses, serving dishes etc. are available on request.

Your function

The centre is licensed to hold a maximum of 50 people at any one function. The hirer must be in attendance, at all times.

Use of kitchen

Food: no foods prepared and cooked in the kitchen are permitted to be sold at any time.
Food Handling: please make every effort to ensure that the handling of your food is done in a safe and healthy manner.
Oven/hot plates/microwave oven/pie warmer: all spillages and crumbs must be removed.

Visitors to the centre

Parking: to minimize possible parking congestion in Coronet and Princeton Courts, we request that you have as many of your visitor’s vehicles as possible park at your property.

Strictly no parking on lawns near the Hall.

Behavior and noise levels

Noise levels must comply with the Noise Abatement (Neighbourhood Annoyance) Regulations. Behavior of your guests will be your responsibility. If at any time it is necessary for the police and/or a security guard to be called to the Community Centre, any costs incurred will be deducted from your bond.

Supervision of Children’s Parties

For such events it is expected that there will be at least 2 adults in attendance at all times for groups of up to 15 children, and an extra adult for every additional 10 children present.

Utilizing outside area around toddler’s pool

At no time is swimming permitted in the toddler’s pool or is access permitted to the main pool area as a condition of hiring the hall. If you require the use of the toddler pool area, please remember that glass objects of any type are not permitted.

If you intend to set up any equipment/furniture in this area for your function, please check availability when applying, due to the possibility of the pool being in use.

Cleaning

The centre is professionally cleaned prior to a function. We ask for your assistance in keeping it clean and tidy. A vacuum cleaner, broom, dust pan, mop and bucket are provided for your use.

The following must be adhered to at all times:

  • room vacuumed, swept or mopped when necessary.
  • tables placed back into store room and chairs stacked against walls.
  • all lights, heaters, air conditioners and fans to be switched off.
  • all doors should be secured and locked.
  • the driving of tacks or nails into walls or ceiling woods is not permitted.
  • all rubbish must be removed from the centre and may be placed in the ‘wheelie’ bin located outside the glass door leading to the toddler’s pool.
  • cleaning up after your function must be completed by 10.00 a.m. the next day.

Alternately, professional cleaning of the hall after your event can be arranged at the cost of $150.00 when making your booking.

Please Note: If the hall is not cleaned to an appropriate standard a minimum fee of $150.00 will apply and will be deducted from the bond paid.

Finishing time of function and return of keys

To consider nearby residents, we ask that you endeavor to finish your function by 12.00 midnight. All keys must be returned to the booking officer as soon as possible.

Bond

Upon a successful inspection of the centre, your bond will be returned to you within 48 hours. Please phone the Hall Hire Booking Officer, Marjan on 9459 8776 for any further assistance.

Lost items/theft of private property

The CHOA Management Committee does not take responsibility for any goods or equipment left in the centre. Please note that if you leave your equipment unattended in the centre your equipment may not be covered by the centre’s insurance.

The Management Committee reserves the right to:

  • Refuse an application for hire.
  • Retain all or part of the bond to cover additional maintenance costs which result from damage, lack of care or cleaning costs.
  • Refuse subsequent bookings if the Conditions of Hire are not met.

Charges for hiring the centre

A non refundable deposit of $40.00 is payable on application. A bond of $300.00 (home owners) or $500.00 (tenants) and the hall hire fee are to be paid to the Bookings Officer no later than 24 hours preceding the event.
